## Custom Location Addresses

### Setting Up Custom Location Addresses
Go to Settings in your app and find "Fulfillment Location Addresses"

Optionally apply the same address to all locations using the checkbox

## Per-Order Shipment Configuration
Customize delivery instructions and customer references for individual orders, giving you complete control over each shipment.
### Accessing Per-Order Settings
1. **From Shipping Labels Page**: Click the settings icon in the right corner next to any order
2. **From Bulk Operations**: Access settings for multiple orders at once

### Delivery Instructions
Add custom delivery instructions that will be visible to the delivery driver. By default, the system will use any delivery instructions already added in Shopify for that order.
**Default Behavior:**
* **Shopify Instructions**: If delivery instructions are already set in Shopify for the order, these will be used by default
* **Custom Override**: You can add additional instructions or override the default ones
* **Driver Visibility**: All instructions (both Shopify and custom) will be visible to the delivery driver in their system

### Location Address Management
You can mix and match default and custom addresses. Some locations can use their default Shopify fulfillment location address while others use custom addresses.

### Common Issues

**Need to refund a label?** Australia Post does not provide a way to refund labels through their API. To refund a shipping label purchased through the app:
1. Log in to your Australia Post MyPost Business account
2. Navigate to the **Transactions** tab
3. Click **View** for the label batch you want to refund
4. Click **View** again for the specific label you want to refund
5. Click the red **Refund** button
If you used **Fulfill later** and no longer need the label in your packing queue, you can also **Cancel label** in the app so the order returns to Ready to ship. That cancel action does **not** refund postage — you still need to refund in MyPost Business. See [Fulfill later](/fulfill-later#cancel-a-purchased-label-workflow-reset).
If the refund is successful, the charges will be returned to your credit card or PayPal account within 5–10 business days.

Learn how to efficiently create shipping labels for multiple orders at once
## Overview
Bulk operations allow you to create shipping labels for multiple orders simultaneously, significantly reducing the time spent on order fulfillment. This feature is perfect for high-volume stores or when processing orders in batches.
## Accessing Bulk Operations
### From Orders Page
1. Navigate to **Orders** in your Shopify admin
2. Select multiple unfulfilled orders using checkboxes
3. Click **Create shipping labels** from the bulk actions dropdown
### From App Dashboard
1. Open the app
2. Navigate to the **Orders** section
3. Use filters to find orders that need labels
4. Select multiple orders and click **Create shipping labels**
## Bulk Label Creation Process
Choose orders that need shipping labels (up to your plan limit)
Check each order for completeness and accuracy
Set package details for each order or use bulk settings
Choose shipping options for each order
Final review before purchasing all labels
Download and print all generated labels
## Order Selection
### Eligible Orders
Orders must meet these criteria for bulk processing:
* **Unfulfilled items**: Contains items that haven't been fulfilled
* **Valid shipping address**: Complete and accurate delivery address
* **Recent orders**: Created within the last 60 days
* **Paid status**: Order must be paid or authorized
### Selection Limits
* **Batch limits**: Maximum of 2000 labels in a single batch
* **Weight limits**: Total weight cannot exceed Australia Post limits
* **Value limits**: High-value orders may require individual processing
The app will automatically exclude ineligible orders and show you which ones
were skipped and why.
## Bulk Configuration Options
### Package Settings
Set the same package for all selected orders: - Choose from flat-rate
packaging - Select custom packages - Use default package settings
Configure packages individually: - Review each order's items - Select
appropriate package size - Adjust weights if needed - Override bulk settings
for specific orders
### Set Custom Dimensions
Use **Set custom dimensions** to apply one-off package dimensions (length, width, height in cm) to selected orders. This is useful when an order uses a package size that isn’t in your saved custom packages, or when you want to try different dimensions without changing settings.
#### How to use
Select the orders you want to apply custom dimensions to from the shipping labels table.
Click the bulk actions menu and choose **Set custom dimensions**.
Enter **Length**, **Width**, and **Height** in centimetres. All three are required and must be greater than 0.1. Each dimension cannot exceed 105 cm (MyPost Business limit). At least two dimensions must be 5 cm or greater.
Check **Save as custom package** to add this size to your custom package list for future use. Enter a **Package name** when this is checked. The new package will appear in the package list and will be applied to the selected orders.
Click **Apply** (or **Apply and save** if saving as custom package) to apply the dimensions to all selected orders. Quotes will refresh with the new dimensions.
#### Display in the table
* **One-off (not saved):** The package column shows **One off package** plus the dimensions you entered.
* **Saved as custom package:** The package column shows the package name and dimensions like any other custom package, and that package is selected.
#### Validation rules
* All three dimensions (length, width, height) are required.
* Each value must be greater than 0.1.
* No dimension may exceed 105 cm.
* At least two dimensions must be 5 cm or greater.
* If you save as custom package, the package name is required and must not duplicate an existing name.
### Shipping Services
Configure shipping services in bulk:
* **Parcel Post**: Standard delivery for all orders
* **Express Post**: Priority delivery for all orders
* **Mixed Services**: Different services based on order criteria
* **Rule-based**: Apply shipping rules automatically

**Need to refund labels purchased in bulk?** Currently, Australia Post does not provide a way to refund labels through their API. When you purchase labels in bulk, all labels are created within a single Australia Post transaction. To refund labels:
1. Log in to your Australia Post MyPost Business account
2. Navigate to the **Transactions** tab
3. Click **View** for the bulk transaction containing your labels
4. Click **View** for the specific label you want to refund
5. Click the red **Refund** button
All labels from a bulk purchase are in a single transaction, but each label must be refunded individually. If the refund is successful, the charges will be returned to your credit card or PayPal account within 5–10 business days.

# Ship Together (Combine Shipments)

Buy one Australia Post label for multiple orders going to the same customer and address
## Overview
**Ship together (1 label)** lets you buy a **single Australia Post shipping label** for two or more orders that are going to the **same customer and shipping address**. Each order is fulfilled in Shopify with the **same tracking number**, so your customer gets one parcel instead of multiple.
This is especially useful for merchants who receive several small orders from the same buyer in a short window (for example, same-day reorders or split checkouts).
## Why use Ship together?
One parcel is often cheaper than two or three separate Parcel Post or Express Post consignments
Pack one box instead of multiple shipments for the same address
Your customer gets a single tracking update for everything you shipped together
Each Shopify order is still marked fulfilled with that shared tracking number
## Plan availability
Ship together is available on **Starter**, **Growth**, **Scale**, and **Pro** plans.
## When can you combine orders?
All selected orders must meet **every** condition below:

| Domestic only | Destination must be Australia (international orders cannot be combined) |

| Same shipping service | Each row must already have the same Parcel Post or Express Post service selected |
| No pending deferred label | Orders waiting in **Labels purchased** cannot be combined again |
| Valid package and weight | Package, weight, and extras must pass validation |
If something does not match, the bulk action stays disabled with a message such as *Selected orders cannot be combined into one label*.
## How to ship together
Open and go to **Shipping Labels → Ready to ship**.
Choose the package, total weight, postage features, and shipping service for each order. Make sure the service is the same on every row you want to combine.
Tick two or more orders that meet the eligibility rules above.
Open bulk actions and select **Ship together (1 label)**.
In the modal, check the shared address, items and quantities, package, weight, extras, and shipment settings. If recipient names differ, choose which name appears on the label.
Wait for the postage quote. You may see a savings message such as *You save \$X by shipping together*, or that the combined cost is the same as shipping separately.
Confirm **Buy combined label**. One Australia Post label is purchased, and each selected order is fulfilled with the same tracking number.
## What happens after purchase?
1. **One MyPost Business label** is created for the combined parcel.
2. **Each selected Shopify order** is marked fulfilled with the **same tracking number**.
3. You can download or print the label from the success banner or **Transactions**.
4. Combined purchases **fulfil immediately** — they do **not** use the [Fulfill later](/fulfill-later) workflow.

## Tips for stores
* Combine same-day or next-day reorders before you pack — customers usually prefer one delivery.
* Confirm **weight and dimensions** for the combined contents so the MyPost quote is accurate.
* If items cannot physically fit in one parcel, keep them as separate labels instead of combining.
* Use [Fulfill later](/fulfill-later) only for separate labels you want to buy now and fulfil later — combine always fulfils straight away.
## Troubleshooting
Check that you selected **two or more** domestic orders with the **same address, location, customer/email, and shipping service**, and that none already sit in **Labels purchased**. Fix any package or weight validation errors first.
Retry after confirming package dimensions and total weight. If it still fails, buy separate labels, or contact support at .
Ship together is intentional consolidation. If the customer wants separate deliveries, purchase labels one order at a time instead.

# Free Shipping Rules

Configure checkout free shipping using rules for order value, location, cart line items, cart weight, and stacking with other discounts
## Overview
Free shipping rules let you offer **automatic free shipping at checkout** when a customer's cart matches conditions you define. When enabled, creates a **Shopify automatic shipping discount for each enabled rule** (shown in **Shopify Admin → Discounts** as titles like **Kivaro Free Shipping · …**). Eligible customers see your custom checkout message and selected delivery methods become free.
This guide covers setup, rule options (including combining with other discounts), all available conditions, and practical examples.
Free shipping rules are available on the **Scale** and **Pro** plans. If you don't see the feature, upgrade your plan or contact [support](mailto:\{supportEmail}).
## Before you start
Make sure your store has **shipping rates** and **delivery methods** configured in Shopify (for example Standard and Express). Free shipping applies to delivery options at checkout.
Cart weight conditions use **variant weight** from Shopify. Enter weights on product variants in **Products → \[product] → Variants**. If a variant has no weight (or weight is zero), it contributes **0 g** unless you enable **Don't apply when product weight is missing**.
In , go to **Settings** and open the **Checkout shipping** tab.
## Enable free shipping
On the **Checkout shipping** tab, enable **Enable free shipping rules**.
Click **Add free shipping rule**, configure conditions, set a checkout message, and save the rule in the editor.
Click **Save** on the settings page. This syncs your enabled rules to Shopify and activates the automatic shipping discount(s).
Saving with free shipping enabled creates one automatic discount per **enabled** rule in Shopify. If you delete those **Kivaro Free Shipping · …** discounts under **Discounts**, rules won't apply at checkout until you save settings in the app again.
## How rules work at checkout
* **Rules** are evaluated when a customer reaches checkout shipping.
* You can create up to **50 rules**. Each rule has up to **10 conditions**.
* Within a rule, conditions are combined with **AND** (every condition must match) or **OR** (any one condition is enough), using **Match conditions using** / **Combine with previous** in the rule editor.
* Each **enabled** rule syncs as its **own** Shopify shipping discount and is evaluated independently. Free shipping applies when **any** matching rule’s discount is applied (for example different postcode zones with different thresholds).
* **Delivery methods** on a rule limit which shipping options become free. The method names must match a delivery option title at checkout (comparison is case-insensitive). Leave empty to apply free shipping to **all** shipping methods in the delivery group. If you select methods that are not available for that cart’s delivery group, that rule does not match.
* **Checkout message** is shown to the customer when the rule applies (max 255 characters).
## Rule settings
When you add or edit a rule, these options appear near the top of the rule editor:

New rules default both combination checkboxes **on**. Existing rules that never set these options are also treated as **on**.

## Combining with other discounts
Shopify only stacks discounts when **both sides** allow it.
1. In , leave **Combine with order discounts** and/or **Combine with product discounts** enabled on the free shipping rule (defaults are on), then **Save** settings so Shopify syncs.
2. The **other** discount (for example a discount code) must also allow combining with **shipping** discounts.
does **not** set free shipping discounts to combine with other **shipping** discounts.
### What customers see

### Codes created outside Shopify Admin
Discount codes from apps such as **Klaviyo** may not appear as editable discounts in **Shopify Admin → Discounts**, or may only appear under app-created discounts. Combination with shipping is usually configured in that app’s coupon / Shopify discount settings. If free shipping vanishes only when a code is applied, check that the code (or its template) allows combining with **shipping discounts**.
After changing combination settings in , click **Save** on the settings page so Shopify discounts sync. You do not need to reopen every rule unless you want to change a checkbox for that rule only.

## Minimum subtotal
Require a minimum merchandise total before free shipping applies.
### Configuration options
* **Minimum order subtotal** — compared against **merchandise only** (shipping and taxes are excluded)
* **Order value basis**
* **Before product discounts** (default) — uses each cart line’s subtotal before line discounts
* **After product discounts** — uses each cart line’s total after line discounts
Basis uses cart **line** merchandise amounts from Shopify. Cart-wide order discount codes or other stacked automatic discounts may not be reflected in the after-discount total, because Shopify can evaluate discounts in parallel.

## Location conditions
### Shipping zone
Choose **Domestic**, **International**, or both.
* **Domestic** — shipping country matches your shop’s country
* **International** — shipping country is different from your shop’s country
Both the shipping address country and shop country must be available for this condition to match.
### Postcode
Match the shipping address postcode using:
* **Exact postcodes** — comma-separated, e.g. `2000, 2010`
* **Postcode ranges** — comma-separated ranges where start is less than end, e.g. `2000-2010, 3000-3099`
You can use exact values and ranges together. Matching uses the numeric part of the postcode (Australian-style codes such as `2000`–`9999`). Enter at least one valid exact postcode or range.
### State / territory
Select one or more **Australian** states or territories from the list. The shipping address province/state code must match a selected value.
### Country
Search and select shipping countries. Free shipping applies when the customer’s shipping country matches one of your selections.

## Cart line items
Match products in the **customer's cart at checkout** using product title, SKU, variant title, and optional quantity rules.
This is similar to **Fulfillment order line items** in [Shipping Rules](/shipping-rules), but it runs at **checkout** against the live cart—not when you create a shipping label.
### Configuration options
* **Match mode**
* **All of line items** — every shippable line in the cart must match your filters
* **At least one of line items** — any shippable line can match
* **Product title, SKU, variant**
* **Operators**: Equals, Not equals, Starts with, Ends with, Contains
* Product title and variant matching are **case-insensitive**
* SKU matching is **case-sensitive**
* Enter **at least one** of product title, SKU, or variant for the condition to be valid
* SKU max **40** characters; variant title max **255** characters
* **Quantity**
* **Any** — line matches regardless of quantity (default)
* **Equals** — the line quantity must equal the number you enter (exact match, not “or more”)
* **Non-shippable items** (items that don't require shipping) are ignored.

## Cart weight
Compare the **total cart weight in grams** against a threshold using standard comparison operators.
### Configuration options
* **Operators**: Less than or equal to, Less than, Greater than, Greater than or equal to, Equals
* **Unit**: Enter weight in **grams** (e.g. `500` for 500 g, `5000` for 5 kg)
* **Weight source**: Shopify **variant weight** on each shippable cart line, converted to grams (kilograms, pounds, and ounces are converted automatically)
* **Non-shippable lines** are excluded from the total
* **Items without a positive variant weight** contribute **0 g** by default
### Don't apply when product weight is missing
Enable **Don't apply when product weight is missing** when you want the condition to **fail** if any shippable item in the cart has no positive variant weight in Shopify. Use this when you only want free shipping for carts where every product has a known weight.

## Checkout result
When a rule matches, customers see your message and eligible delivery methods show **\$0** shipping.
You can verify the underlying discounts in **Shopify Admin → Discounts** (one **Kivaro Free Shipping · …** entry per enabled rule). Open a discount to confirm it combines with **product** and/or **order** discounts according to your rule settings.

## Tips and troubleshooting
* Confirm **Enable free shipping rules** is on and you clicked **Save** in app settings.
* Check that **Kivaro Free Shipping · …** discounts still exist under **Shopify Admin → Discounts** (one per enabled rule).
* Verify the rule is **enabled** and at least one condition actually matches the test cart.
* If you limited **Delivery methods**, make sure a selected method title matches a delivery option shown at checkout.
* In the free shipping rule, confirm **Combine with order discounts** and/or **Combine with product discounts** is on, then **Save** settings in the app.
* Shopify also requires the **code** to allow combining with **shipping**. Check the code in Shopify Admin, or in the tool that created it (for example Klaviyo).
* Quick check: remove the code — if free shipping returns, the rule matched and stacking settings are the cause.
* Choose **Before product discounts** or **After product discounts** to match how you want the threshold to work.
* Cart-wide order codes may not always reduce the after-discount line totals used at evaluation time.
* Weights come from **variant weight** in Shopify, not package dimensions in the app.
* Products without a positive weight contribute **0 g** unless you enabled **Don't apply when product weight is missing**.
* Only **shippable** lines are included in the total.
* Enter at least one of **product title**, **SKU**, or **variant**.
* Check **match mode**: **All** requires every shippable line to match; **At least one** is usually easier for promotional SKUs.
* Product title and variant are case-insensitive; **SKU is case-sensitive**.
* Quantity **Equals** means exact quantity on that line, not a minimum.
[Shipping Rules](/shipping-rules) **Fulfillment order line items** run when you fulfill orders and create labels. **Cart line items** here run at **checkout** against the live cart. Use shipping rules for label automation; use free shipping rules for customer-facing checkout discounts.

# Fulfill Later & Labels Purchased

Buy Australia Post labels now and mark Shopify orders as fulfilled when you are ready to pack and ship
## Overview
**Fulfill later** (also called **Skip fulfilling orders**) lets you **buy MyPost Business shipping labels without marking the Shopify orders as fulfilled yet**.
Labels stay in the **Labels purchased** tab until you are ready to pack. When you mark them as fulfilled, tracking is added to each Shopify order and you can optionally email the customer.
This is designed for busy warehouses that want to:
* Buy postage in a morning batch
* Print labels later
* Fulfil in Shopify only when parcels actually leave the bench
## Plan availability
**Growth plan and above.** Fulfill later and the **Labels purchased** tab are available on Growth, Scale, and Pro. Starter plan merchants will see an upgrade prompt: *Fulfill later is available on Growth plan and above*.
## How the two tabs work

When you buy with fulfill later:
* Orders move from **Ready to ship** into **Labels purchased**
* Shopify fulfilment status does **not** change yet
* Reserved quantities stay out of Ready to ship so you do not buy a duplicate label by mistake
## Buy labels without fulfilling
On **Shipping Labels → Ready to ship**, select the orders you want to purchase.
Click **Review label(s)** and confirm package, weight, service, and postage features as usual.
In the buy postage confirmation, tick **Skip fulfilling orders (fulfill later)**.
While skip is on, **Send tracking details to customer(s)** is turned off. Customers are notified later, when you mark orders as fulfilled (if you choose that option).
Complete the purchase. You will see a message that labels are ready to print and that orders have **not** been fulfilled yet.
Open the **Labels purchased** tab. Your new labels appear with tracking, postage, carrier reference, and download/print actions.
## Mark orders as fulfilled
When parcels are packed and ready to hand to Australia Post (or your courier pickup):
Go to **Shipping Labels → Labels purchased**.
Select one or more rows.
Click **Mark as fulfilled** (page action or bulk action).
Confirm that Shopify should fulfil those orders with the purchased tracking numbers. Optionally tick **Send tracking details to customer(s)**.
After success:
* Tracking is added to the Shopify order(s)
* Rows leave **Labels purchased**
* Those fulfilment quantities no longer sit in your deferred queue
## Cancel a purchased label (workflow reset)
Sometimes you buy a label too early — wrong service, customer changed address, or you need to re-pack. Use **Cancel label** on **Labels purchased**.
### Important: cancel in the app is not a MyPost refund
Cancelling in :
* Removes the label from **Labels purchased**
* Returns the order/quantity to **Ready to ship**
* Does **not** refund postage with Australia Post
MyPost Business does **not** support cancelling labels through the app API. If you no longer need the postage, you must request a **refund or void in MyPost Business**.
### How to cancel
Select the label row, or use the cancel (delete) icon next to download/print.
Confirm that the order will return to Ready to ship, and that this does **not** refund postage.
For MyPost Business labels, the modal warns you to request a refund in MyPost Business. Use **Open MyPost Business** or **Open this transaction** when shown.
After cancel, the order is back on **Ready to ship** so you can buy a new label if needed.
### Refund in MyPost Business
1. Log in to [MyPost Business](https://auspost.com.au/mypost-business)
2. Open **Transactions** and find the label/transaction
3. Request a **Refund** for the unused label
4. Successful refunds usually return to your card or PayPal within **5–10 business days**
If you cancel in the app and then buy a new label without refunding the old one in MyPost Business, you may be charged twice.
## Partial fulfilments
Fulfill later works with **partial quantities**:
* You can buy a label for some items now and leave the rest on Ready to ship
* Shopify remaining quantities stay correct until you mark the purchased portion as fulfilled
* Cancel returns only that reserved quantity to Ready to ship
## Download and print purchased labels
From **Labels purchased** you can:
* Copy the tracking number
* Open Australia Post tracking
* Open the MyPost Business transaction reference
* Download or print the label PDF
Lost the PDF? You can usually download again from **Labels purchased** or **Transactions** for up to **30 days** after purchase. Changing print layouts (A4 / thermal) is typically available within **48 hours** of purchase.
## Tips for merchants
* Use fulfill later for **batch label buying** before your packing shift starts.
* Turn customer tracking emails **on at Mark as fulfilled**, so customers are not notified before the parcel leaves.
* Do not leave unused labels sitting unpaid for refund — cancel in-app **and** refund in MyPost when postage will not be used.
* Orders in Labels purchased cannot be selected for [Ship together](/combine-shipments) until you cancel or fulfil them.
## Troubleshooting
Your store needs Growth plan or above. Upgrade in the app billing settings, then refresh Shipping Labels.
Check **Labels purchased**. It is waiting for **Mark as fulfilled**.
That is expected. Cancel only resets your Shopify workflow. Refund unused labels in MyPost Business.
Tracking emails are sent when you mark as fulfilled **and** choose **Send tracking details to customer(s)**. They are not sent at purchase time when fulfill later is enabled.
Carrier reprint windows are limited. Try download again within 30 days from Labels purchased or Transactions. After that, the stored copy may no longer be available.

## Installation
### Step 1: Install the App
1. Visit the Shopify App Store and search for "

The app requires access to orders, products, and fulfillment data to
generate accurate shipping labels.
### Step 2: Connect Your Australia Post Account
Retrieve your unique merchant token from Australia Post: 1. Log in to your
Australia Post MyPost Business account 2. Navigate
to "eCommerce Partners" and find ""
3. Click **Connect** and ensure you have a payment method added to your account
4. Copy the generated merchant token
Your merchant token is unique to your Australia Post account and should be kept secure.
Connect your account in the Shopify app: 1. Open the
app in your Shopify admin 2. Click **Connect MyPost Business Account** 3.
Paste your merchant token 4. Select your preferred payment method 5. If
using a business credit account, enter your account number 6. Click **Save**
If you need to regenerate your token, you can do so from your Australia
Post account settings.
## Basic Setup
### Configure Default Settings
Set up your default printing and label preferences: - Choose your default
print layout (A4 or A6) - Select label format based on your printer setup -
Configure international shipping preferences (A4 only)
**Thermal Label Printing:** If you're using a thermal label printer, select **A6** as your print layout option. A6 format is specifically designed for thermal printers and ensures optimal label quality and compatibility with standard thermal label sizes.
Configure your default shipping services and options: - Set default shipping
services (Parcel Post, Express Post) - Configure signature on delivery
preferences - Set up transit cover options for valuable items
These settings help streamline the label creation process for most orders.
Set up your packaging preferences: - Choose from Australia Post flat-rate

Custom packages help optimize shipping costs and ensure proper fit for
your products.
Configure your return address for shipping labels:
**Important:** By default, the return address on your shipping labels will be your fulfillment location address. Before generating labels, please verify this address is correct. You can customize the return address for each location from the app settings page if needed.
* Review your fulfillment location addresses
* Configure custom return addresses if using multiple warehouses or 3PL providers
* Ensure return addresses are accurate for customer returns
### Create Your First Shipping Label
Create labels for individual orders: 1. Navigate to any unfulfilled order in
your Shopify admin 2. Click **Create shipping label** in the order details
3\. Review and adjust package details if needed 4. Select shipping service
and options 5. Click **Buy shipping label**
Before generating labels, verify that the return address (which defaults to your fulfillment location address) is correct. You can change it from the app settings page if needed.
Labels are automatically applied to orders and tracking information is
sent to customers.
Process multiple orders at once: 1. Go to **Orders** in your Shopify admin
2\. Select multiple unfulfilled orders 3. Click **Create shipping labels**
from the bulk actions 4. Review all orders and make adjustments as needed 5.
Click **Buy shipping labels** to process all at once
Bulk operations are perfect for high-volume stores or batch processing.
Use the "Create Shipping Labels" admin action for seamless integration:
1. **Orders Listing Page**: Select one or more orders and click **More actions** → **Create Shipping Labels**

2. Navigate to the **Transactions** tab
3. Click **View** for the label batch you want to refund
4. Click **View** again for the specific label you want to refund
5. Click the red **Refund** button
If the refund is successful, the charges will be returned to your credit card or PayPal account within 5–10 business days.

## Overview
The Australia Post MyPost Business app provides comprehensive support for international shipping, including automatic customs declarations, export documentation, and country-specific requirements. This guide covers everything you need to know about shipping orders overseas.
## Prerequisites for International Shipping
Before shipping internationally, ensure you have:
* **Valid Australia Post account** with international shipping enabled
* **Product information** including HS codes and country of origin (these are prefilled from your Shopify product details when available—see [HS code and country of origin](#hs-code-and-country-of-origin-from-shopify) below)
* **Export documentation** for high-value shipments
* **Compliance knowledge** for destination country requirements
## International Shipping Process

## Customs Declarations
### Required Information
For every international shipment, you must provide:
Harmonized System classification codes for each item. When you create international labels, HS codes are **prefilled from your Shopify product details** (variant inventory item’s Harmonized System code) when available—you can edit them as needed.
Detailed descriptions of goods being shipped. Descriptions are **editable per line item** when you create a label (up to 40 characters). By default, the app uses the **product title**—or a **product metafield** if you configure one in Settings (see [Prefill item descriptions from a product metafield](#prefill-item-descriptions-from-a-product-metafield) below).
Where the goods were manufactured or produced. **Country of origin is prefilled from your Shopify product details** (variant inventory item’s country of origin) when available—you can change it per item if needed.
Purpose of export (sale, gift, return, other)
### HS Code and Country of Origin from Shopify
The app automatically prefills **HS code** and **country of origin** for each line item from your Shopify product/variant data when that information is set in Shopify (inventory item’s Harmonized System code and country of origin). This reduces data entry and helps keep customs declarations consistent. You can still edit or add values when creating a label. For best results, maintain HS codes and country of origin on your products in Shopify. **Learn how to add HS codes in Shopify:** Add HS codes for international shipping.
### HS Code Management
HS (Harmonized System) codes are international classification codes. The app **prefills HS codes from your Shopify product details** (each variant’s inventory item Harmonized System code) when you create international labels—research and add codes in Shopify for products you ship internationally to streamline label creation. See Shopify’s guide to adding HS codes for step-by-step instructions.

### Commercial value
When you complete a customs declaration, each shipment includes a **Commercial value** field (Yes / No). This indicates whether the goods are for resale.
* **Default**: Yes (commercial / for resale)
* **When to use No**: Gifts, samples, or other non-commercial shipments where the goods are not intended for resale
You can change this on the customs declaration form before confirming the label. The value is sent on the Australia Post customs declaration.
### Item descriptions on the customs form
For international labels, you can review and edit the **Customs description** for each line item directly in the customs declaration modal.
**Key details:**
* Each active line item gets its own **Customs description** field (maximum **40 characters**)
* Descriptions are used on the Australia Post customs declaration form—not the separate **Goods description** field, which is only used when the export reason is **Other**
* If you have already saved a customs declaration for the order, your saved descriptions are kept and are not overwritten
**Default description order** (when no saved description exists):
1. **Saved description** from a previous customs declaration on the order (if any)
2. **Product metafield value** (if you mapped a product metafield in Settings—see below)
3. **Product title**
4. **Parcel contents** (fallback when no title is available)
**Orders with more than 20 line items:**
Australia Post limits item content lines on the customs form. When an order has **more than 20** active line items, the app groups items by HS code and country of origin and suggests grouped descriptions. You can review and edit those grouped descriptions before confirming. Grouped suggestions use the same default order above (metafield value or product title) when building the suggested text.
### Prefill item descriptions from a product metafield
If product titles are too generic for customs (for example, internal SKUs or marketing names), you can store a customs-friendly description on each product and have the app prefill it automatically.
This is optional. If you do not configure a metafield mapping, the app continues to use **product titles** as today.
**Requirements:**
* The metafield must be a **product-level** definition in Shopify
* Only **Single line text** metafield types are supported
* The metafield definition must already exist in Shopify before it appears in the app dropdown
#### Step 1: Create a product metafield in Shopify
Create a product metafield definition in Shopify Admin for the description you want to use on customs forms—for example, `customs.description` or a name your team already uses.
In Shopify Admin, go to **Settings** → **Custom data** → **Products** (or open a product and add a metafield definition from the **Metafields** section).
Click **Add definition** and choose type **Single line text**. Other types (multi-line text, lists, numbers, and so on) are not supported for this feature.
Give it a clear name (for example, **Customs description**) and note the **namespace** and **key**—you will select this definition in the app.
Save the metafield definition.
#### Step 2: Enter values on your products
Add a customs-friendly description on each product. Use plain language suitable for customs authorities (material, product type, intended use)—not internal SKUs alone.
Go to **Products** in Shopify Admin and open a product you ship internationally.
Scroll to the **Metafields** section on the product page.
Fill in your single-line text metafield with the description you want on customs forms (maximum 40 characters is enforced when creating labels).
Save the product. Repeat for other products as needed.

#### Step 3: Map the metafield in Kivaro Settings
Tell the app which product metafield to use for customs description defaults.
In the app, go to **Settings** → **Postage**.
Under **Customs item description source (product metafield)**, choose your metafield from the dropdown. Select **None (use product title)** to turn this off.
Save your settings. The mapping applies to new customs declarations and label creation going forward.
**How the app uses the mapping:**

Only **product-level** metafields are read—not variant metafields. Set the value on the product (or ensure the product record has the value your variants inherit from).
If a previously selected metafield definition is deleted in Shopify, the app shows a warning in Settings and falls back to product titles until you choose another metafield or clear the setting.
### Export Declaration Numbers (EDN)
For shipments over certain values, you need an Export Declaration Number:
EDN is mandatory for shipments over \$2,000 AUD in value.
**When EDN is required:**
* Shipments valued over \$2,000 AUD
* Certain restricted or controlled goods
* Destination country requirements
**How to obtain EDN:**
1. Register with Australian Border Force
2. Complete export declaration online
3. Receive EDN for your shipment
4. Enter EDN in the app when creating labels
## Setting Importer Reference via Shipping Rules
You can automatically set the **importer reference number** for international shipments using [Shipping Rules](/shipping-rules). When an order matches a rule that has the **Importer reference number** action, the app applies that value to the customs declaration for the label—useful when you routinely use a fixed importer reference (e.g. your company or client reference) for certain destinations or order types.
**How to set it:**
1. Go to **Shipping Rules** in the app and create or edit a rule.
2. Add a **condition** that targets international orders (e.g. Destination country **not equals** Australia).
3. In **Actions**, add **Importer reference number** and enter your reference (max 40 characters).
4. Save and enable the rule.
When you create an international label for an order that matches this rule, the importer reference will be prefilled on the customs declaration.

## Generating Packing Slips

## Overview
The **Purchase label** page lets you buy an Australia Post MyPost Business label **outside the main Ready to ship workflow**.
Use it when you need to:
* Buy **another label** for an order you already fulfilled (replacement, damaged parcel, wrong service)
* Create a **return label** by swapping from/to addresses
* Purchase a **standalone domestic label** that is not linked to a Shopify order
## Ways to open Purchase label
### 1. From a Shopify order (recommended for replacements)
1. Open the order in **Shopify admin → Orders**
2. Click **More actions**
3. Choose **Purchase another label**
Customer and order details are prefilled so you can buy postage and optionally add the new tracking number to that order.

In the package picker, choose **Add custom package / one-off dimensions**. Enter length, width, and height in centimetres. Optionally save the size as a reusable custom package.
Wait for the quote, then choose Parcel Post or Express Post (and any other available options).
If the label is linked to a Shopify order, you can tick **Add tracking to Shopify order** and optionally **Send tracking details to customer(s)**. Tracking is added **alongside** any existing tracking — it does not replace it.
Confirm the postage cost and purchase. Download or print the label when it is ready.
## Custom dimensions on Purchase label
Purchase label uses the **same custom dimensions experience** as the main Shipping Labels page:
* Enter **Length**, **Width**, and **Height** in cm
* Apply as a **one-off package** for this label only, or
* **Save as custom package** so it appears in your package list next time
Validation matches MyPost Business rules (for example, dimensions must be valid and within carrier limits). See also [Bulk operations → Set custom dimensions](/bulk-operations#set-custom-dimensions).

## Common use cases
Open the original order → **Purchase another label** → buy a new service/package → add tracking to the same order so the customer sees the replacement consignment.
Open Purchase label, set the customer address as **From** (or use swap), and your warehouse as **To**, then buy the return postage.
Useful when you need to send an extra item after the original fulfilment was already marked complete in Shopify.
Send a sample, warranty part, or marketplace parcel that is not tied to a Shopify order using a standalone domestic label.
## Tips
* Prefer **Purchase another label** from the order admin when you need tracking to stay attached to that order history.
* Recipient needs a **phone number or email** for MyPost Business validation.
* If postage succeeds but Shopify tracking update fails, the label is still purchased — you can add tracking manually or retry from support guidance.
* Re-download labels from **Transactions** for up to **30 days** after purchase.
## Troubleshooting
International adhoc labels are not supported on this page. Use the main Shipping Labels / international workflow for overseas orders.
Postage was charged successfully. Open the Shopify order and add the tracking number manually if needed, or contact .
Complete from/to address, package, and weight first. Fix any validation messages under those fields, then wait for the service quote.
Refund unused labels in MyPost Business Transactions. The app cannot cancel MyPost postage via API. See [Advanced features](/advanced-features#troubleshooting).

## Get started in three steps
Set up integration and create your first shipping label in just a few minutes.
### Step 1: Install and connect your account
Add to your Shopify store from the Shopify App Store.
1. Search for "" in the App Store
2. Click **Install** and follow the installation prompts
3. Grant the required permissions for orders, products, and fulfillment data
The app needs access to your order data to generate accurate shipping
labels.
Link your existing Australia Post MyPost Business account to start creating labels.
1. Log in to your Australia Post MyPost Business account
2. Navigate to "eCommerce Partners" and find ""
3. Click **Connect** and copy the generated merchant token
4. Paste the token in the app and select your payment method
Ensure you have a valid payment method added to your Australia Post
account before connecting.
### Step 2: Configure your settings
Configure your shipping preferences to streamline the label creation process.
1. Choose your default print layout (A4 or A6)
2. Select preferred shipping services (Parcel Post, Express Post)
3. Set up signature and transit cover options
4. Configure package preferences (flat-rate or custom)
You can always override these defaults when creating individual labels.
**Important:** Ensure your fulfillment location address (from address) is correctly configured with accurate state, postcode, and street address. This address is used for shipping rate calculations and label generation. Verify your inventory location settings in Shopify match your actual fulfillment address.
Set up custom packages for your specific shipping needs.
1. Go to **Settings** in the app
2. Click **Add Package** under Custom Packaging
3. Define dimensions, weight, and package type
4. Set as default for automatic selection
Custom packages help optimize shipping costs and ensure proper fit for your products.
### Step 3: Create your first label
Now you're ready to create your first shipping label!
1. Navigate to any unfulfilled order in your Shopify admin
2. Click **Create shipping label** in the order details
3. Review package details and adjust if needed
4. Select shipping service and any additional options
5. Click **Buy shipping label** to generate and download
**Address verification required:** Before generating labels, ensure both addresses are complete and accurate:
* **From address (inventory location):** Verify your fulfillment location has correct state, postcode, street address, and city. This is critical for accurate shipping rate calculations.
* **Delivery address (customer address):** Ensure customer orders have complete delivery addresses including state, postcode, and street address. Incomplete addresses will prevent shipping rates from being calculated.
You can update your fulfillment location address in Shopify settings or change it from the app settings page if needed.
Labels are automatically applied to orders and tracking information is sent to customers.
For seamless integration, use the "Create Shipping Labels" admin action:
**From Orders Listing Page:**
1. Select one or more orders
2. Click **More actions** → **Create Shipping Labels**
**From Order Details Page:**
1. Click **More actions** → **Create Shipping Labels**
This sends orders directly to the Kivaro MyPost Business App for streamlined label creation and order fulfillment.

# Shipping Rules Configuration

Learn how to create and manage automated shipping rules to streamline your fulfillment process
## Overview
Shipping Rules allow you to automate package selection, shipping service, signature requirements, Extra Cover (transit cover), **Customer reference 1** on the label, and—for international orders—customs fields (importer reference number, sender customs reference, certificate number, licence number, landed costs payment), based on specific order conditions. This helps reduce manual work and ensures consistent shipping decisions across your store. Each rule can have up to 10 conditions, combined with AND or OR—except **All orders**, which must be used alone. Rules are evaluated in the order they appear; the **first matching rule’s actions** are applied.
## Creating Your First Rule
Navigate to the app and click on **Shipping Rules**
in the sidebar
Click **Add Rule** to create your first automated shipping rule
Give your rule a descriptive name (e.g., "Heavy Items - Express Post")
Define when this rule should apply using one or more conditions
Specify what should happen when the conditions are met (package, service, signature, Extra Cover, Customer reference 1, or international customs fields)
Toggle the rule status to **Enabled** and save
## Rule Conditions
You can create rules based on various order attributes. Each rule can have **up to 10 conditions**. When you add more than one condition, you choose how to combine them: **AND** (all must match) or **OR** (at least one must match). The first condition has no operator; from the second condition onward, you select "and" or "or" to combine with the previous result.
**Exception:** If you use **All orders**, that must be the **only** condition on the rule—you cannot combine it with other conditions.
**Available condition types:**

### All Orders
Use **All orders** when you want the rule’s actions to apply to **every** fulfillment order—for example, always set Customer reference 1 from the order number and SKUs, regardless of weight, state, or other attributes.
* **No operator or value**: Selecting All orders is enough; there is nothing else to configure for the condition.
* **Exclusive**: All orders **cannot** be combined with other conditions on the same rule. If a rule already has multiple conditions and you change one to All orders (or try to add All orders alongside others), the app shows an error asking you to remove the other conditions first. While All orders is set, **Add Condition** is disabled.
* **Use cases**: Store-wide defaults such as always prefilling Customer reference 1, always requiring signature, or always applying a standard package/service.
**Example:** Create a rule named "All Orders - Customer Ref" that:
* **Condition**: All orders
* **Actions**: Customer reference 1 = Order number, then Customer reference 1 = SKUs (see [Customer Reference 1](#customer-reference-1) below)
### Order Weight
* **Operators**: Less than or equal to, Less than, Greater than, Greater than or equal to, Equals
* **Unit**: Weight is entered in **grams** (e.g. enter 2000 for 2 kg, 10000 for 10 kg)
* **Example:** Create a rule for lightweight items (2000 g or less) or heavy items (over 10000 g) to automatically select appropriate packaging and shipping services.
### Order Value
* **Operators**: Less than or equal to, Less than, Greater than, Greater than or equal to, Equals
* **Currency**: Values are in your store’s currency (typically AUD)
* **Use**: For low-value orders or high-value orders requiring signature or extra cover
### Customer State
* **Operator**: Equals only (exact match)
* **Values**: Australian states and territories (ACT, NSW, NT, QLD, SA, TAS, VIC, WA)
* **Use**: Target specific regions for different shipping preferences or restrictions. The state is taken from the order’s shipping address.
### Delivery Method
* **Operator**: Equals only
* **Availability**: This condition appears only when your store has **delivery methods** configured in Shopify (e.g. from shipping profiles). If you don’t see it, set up delivery methods in Shopify first.
* **Values**: The list shows your Shopify delivery method names (e.g. Standard Shipping, Express Shipping, Click & Collect, Local Delivery). You can also select **Other** and optionally enter a **custom name** (max 100 characters) so the rule matches orders whose selected method isn’t in the list—e.g. when the customer chose a method that doesn’t appear by name in the app.
* **Matching**: The app compares the order’s delivery method (presented name or name looked up by ID) to the condition value.
**Example:** Create rules that automatically apply different shipping services or package options based on whether customers selected Click & Collect, Express Shipping, or other delivery methods.
### Destination Country
* **Operators**: **Equals** (match a specific country) or **Not equals** (exclude a specific country)
* **Values**: Country list (Australia, New Zealand, US, UK, Canada, etc.). The country is taken from the order’s shipping address.
* **Use**: Apply different rules for domestic vs international orders (e.g. Destination country **not equals** Australia for international).
**Example:** Create a rule that applies Express Post for all domestic orders (Australia) and standard international shipping for overseas orders.
### Discount Code
Target orders based on the discount code(s) the customer applied at checkout.
* **Operators**: **Equals** (the code is present on the order) or **Not equals** (the code is not present on the order)
* **Value**: Enter one discount code as free text (max **255** characters, matching Shopify’s limit)
* **Matching**: **Case-sensitive** — enter the code exactly as customers type it at checkout (e.g. `VIP10` and `vip10` are treated as different codes)
* **Multiple codes on an order**: If a customer used more than one discount code, all codes are checked. **Equals** matches when your entered code appears anywhere in that list; **Not equals** matches when your entered code does not appear in the list.
* **Orders with no discount codes**: If the order has no discount codes applied, this condition does **not** match (neither **Equals** nor **Not equals** will pass).
When you add a Discount Code condition, the app shows a reminder that matching is case sensitive. Double-check the exact spelling and capitalization of your code in Shopify **Discounts** before creating the rule.
**Use cases:**
* **Promotional shipping**: Apply Express Post or signature for orders using a VIP or loyalty code
* **Exclude promotional orders**: Use **Not equals** to skip a rule for orders that used a specific free-shipping or staff discount code
* **Campaign-specific packaging**: Match a launch or sale code to use a particular package or service
**Example:** Create a rule named "VIP10 - Express & Signature" that:
* **Condition**: Discount Code **equals** `VIP10`
* **Actions**: Use Express Post service; require signature on delivery
### Fulfillment Order Line Items
Match orders based on specific products and quantities in the fulfillment order. This powerful condition allows you to create rules that trigger based on what items are being shipped.
This condition is most useful for targeting your most common and frequent orders.
By creating rules for your best-selling products or frequently ordered items, you can
automate shipping decisions for the majority of your orders, saving time and ensuring
consistency across your fulfillment process.
**Configuration Options:**
* **Match Mode:**
* **All of fulfillment order / line items**: All items in the order must match your criteria
* **At least one of fulfillment order / line items**: Any item in the order can match your criteria
* **Product Title:**
* **Operators**: Equals, Not equals, Starts with, Ends with, Contains (all case-insensitive)
* Enter the product name as it appears in your Shopify store (or a part of it when using Starts with, Ends with, or Contains)
* **SKU:**
* **Operators**: Equals, Not equals, Starts with, Ends with, Contains (all case-insensitive)
* Enter the SKU as it appears on your product variant in Shopify (max 40 characters)
* You must enter at least one of product title, SKU, or variant for the condition to match
* **Variant:**
* Match line items by **variant title** (the option values shown for the product, e.g. "Small / Blue", "500g").
* **Operators**: Same as product title and SKU—**Equals**, **Not equals**, **Starts with**, **Ends with**, **Contains** (all case-insensitive).
* Enter the variant title as it appears in Shopify (e.g. size, color, or other option). Max 255 characters.
* You must enter at least one of product title, SKU, or variant for the condition to match.
* **Quantity:**
* **Any**: The line item matches regardless of how many units are being fulfilled (useful when you only care that the product is in the order)
* **Equals**: The fulfilling quantity must equal the number you enter (number of units being fulfilled for that product)
**Benefits:**
* **Product-specific shipping**: Apply different shipping rules for specific products (e.g., fragile items, oversized products, hazardous materials)
* **SKU-based rules**: Match by variant SKU when product titles vary or you use codes (e.g., "Fragile-001", "BULK-10")
* **Variant-based rules**: Match by variant title (e.g. "Large", "Blue", "500g") when you want to target specific sizes, colors, or options without using SKU
* **Quantity-based rules**: Handle bulk orders differently from single-item orders
* **Special handling**: Automatically apply express shipping or special packaging for certain products
* **Cost optimization**: Use standard shipping for low-value items and express for high-value products
**Example Use Cases:**
1. **Fragile Items Rule**: If any order contains "Glass Vase" with quantity 1 or more, automatically use Express Post and require signature
2. **SKU-based Rule**: If any order contains a line item with SKU equals "Fragile-001", use Express Post and require signature
3. **Variant-based Rule**: If any order contains a line item with variant title equals "Large" (or "Small / Blue"), use a specific package or Express Post—useful when size or option determines packaging
4. **Bulk Orders Rule**: If all items in an order are "Bulk Pack" products with quantity 10 or more, use a large box package
5. **Exclude Products Rule**: If any order contains "Hazardous Material" products, use special handling and Express Post
6. **Premium Products Rule**: If any order contains "Premium Watch" products (or SKU "PREM-WATCH"), require signature and use Express Post
## Rule Actions
When conditions are met, you can automate one or more actions on the same rule:

### Package Selection
* **Flat-rate packaging**: Choose specific Australia Post satchels or boxes
* **Custom packages**: Select from your defined custom packages
* **Default package**: Use your store's default package setting
### Signature Requirements
* **Required**: Automatically add signature on delivery for high-value items
* **Not Required**: Skip signature for standard deliveries
### Shipping Service
* **Parcel Post**: Standard delivery service (domestic or international, depending on the order’s destination)
* **Express Post**: Priority delivery service (domestic or international)
* For **international** orders, the app applies the corresponding Australia Post international product (standard or express) when you select Parcel Post or Express Post respectively. There is no separate “International” action—the same two services apply to both domestic and international orders.
### Extra Cover
* **Extra Cover** lets you set a fixed transit cover amount (in dollars) for orders that match the rule. Transit cover protects the value of shipped items against loss or damage while in transit with Australia Post.
* **Amount range**: You can enter any value from **$100** to **$5,000** (inclusive). Values outside this range are not allowed when saving the rule.
* **Signature when $500 or more**: If you set Extra Cover to **$500 or more**, the app automatically adds **signature on delivery** for those orders (Australia Post requirement). You do not need to add a separate Signature action.
* **Use cases**: Use this action when you want rule-based transit cover—for example, high-value orders get \$1,000 cover and signature, or orders containing certain products get a specific cover amount.
### Customer Reference 1
**Customer reference 1** prefills the first customer / sender reference on the shipping label (shown as **Ref:** on MyPost Business labels). This is separate from the international **Customs reference** action, which only applies to customs declarations.
* **Applicable to**: Domestic and international orders.
* **How it works**: Choose a field for each Customer reference 1 action. You can add **multiple** Customer reference 1 actions on the same rule; the app joins the resolved values with **spaces**, in the order you configured them.
* **Available fields**:
* **Order number** — the Shopify order name (e.g. `#1010`)
* **SKUs** — all SKUs from **fulfilling** line items on the order, separated by spaces (empty SKUs are skipped)
* **Customer name** — shipping address name
* **Phone number** — shipping address phone
* **Maximum length**: **50** characters. Only the first 50 characters are used on the label; the app shows a reminder when you add this action. If earlier parts already fill the limit, later fields (or later SKUs) are not added.
* **Default when unused**: If no matching rule sets Customer reference 1, the app keeps the current default (order number) and you can still edit references manually in Shipment Settings when creating the label.
* **MyPost Business**: Only the first customer reference is printed on the label. A second reference field is available in Shipment Settings for carriers that support it later (e.g. eParcel).
**Example:** Create a rule named "All Orders - Order + SKUs on label" that:
* **Condition**: All orders
* **Actions**:
1. Customer reference 1 → **Order number**
2. Customer reference 1 → **SKUs**
On the label, **Ref:** might show `#1010 MySKU1 SB1` (order name, then each fulfilling SKU, space-separated), truncated to 50 characters if needed.
### Importer Reference Number (International)
* **Importer reference number** lets you set a customs importer reference (e.g. your company or client reference) for international shipments. When an order matches a rule with this action, the value is applied to the customs declaration when creating the international label.
* **Applicable to**: International orders only (e.g. use with a condition such as Destination country **not equals** Australia).
* **Maximum length**: 40 characters.
* **Use cases**: Use when you routinely ship to the same overseas buyer or use a fixed importer reference for certain destinations—no need to type it on each label.
### Customs Reference (International)
* **Customs reference** (sender customs reference) lets you prefill the sender’s customs reference on the customs declaration for international shipments—for example, your company or shipment reference used on customs paperwork.
* **Applicable to**: International orders only (e.g. use with a condition such as Destination country **not equals** Australia).
* **Maximum length**: 50 characters.
* **Format**: Alphanumeric characters only (letters and numbers).
* **Use cases**: Apply a fixed sender reference for recurring international shipments to the same buyer, region, or product category so you do not re-enter it on each label.
### Customs Certificate Number (International)
* **Customs certificate number** lets you prefill a certificate number on the customs declaration for international shipments (for example, when you supply certificates with your customs paperwork).
* **Applicable to**: International orders only. The app shows a reminder that importer reference, customs reference, certificate, licence, and landed costs payment actions apply to international orders only.
* **Maximum length**: 35 characters.
* **Use cases**: Automatically apply a fixed certificate number for certain product types, destinations, or buyer categories so you do not re-enter it on each label.
### Customs Licence Number (International)
* **Customs licence number** lets you prefill a licence number on the customs declaration for international shipments (for example, when regulated or restricted goods require licence details).
* **Applicable to**: International orders only.
* **Maximum length**: 35 characters.
* **Use cases**: Apply a standard licence number for recurring international shipments of licensed products.
### Landed Costs Payment (International)
* **Landed costs payment** lets you set who pays import duties, taxes, and fees at the destination when creating international labels.
* **Applicable to**: International orders only. This action overrides your **Settings → Postage** default for matching orders only.
* **Options**:
* **Receiver pays at destination (Delivered at Place / DAP)** — the recipient pays on arrival
* **Sender pays via Zonos® Verified Account (Delivered Duty Paid / DDP)** — the sender pays before the parcel arrives
* **Sender pays using tax ID (Delivered Duty Paid / DDP)** — the sender pays using a tax ID
* **Use cases**: Automatically set DAP for standard international orders to certain countries, or DDP for premium buyers or B2B accounts where you routinely prepay duties and taxes.

This targets specific variants by SKU when product titles differ or you use internal codes.
### High-Value Orders with Extra Cover
Create a rule named "High Value - Extra Cover" that:
* **Condition**: Order value is greater than or equal to \$300
* **Actions**:
* Extra Cover: $500 (or any amount between $100 and \$5,000)
* Use Express Post service
Because the Extra Cover amount is \$500 or more, signature on delivery is added automatically. You can combine Extra Cover with package and service actions to automate both transit cover and shipping method for high-value or product-specific orders.
### Bulk Product Handling

When using Fulfillment Order Line Items condition, ensure product title, SKU,
and/or variant title match as in your Shopify store (matching is case-insensitive).
You must enter at least one of product title, SKU, or variant. For SKU, use the
variant SKU and keep it to 40 characters or fewer. For variant, use the variant
title (e.g. "Small / Blue", "500g") and keep it to 255 characters or fewer.
Discount Code conditions are **case-sensitive**. Enter the code exactly as it
appears in Shopify (e.g. `SUMMER20`, not `summer20`). Each condition matches one
code. If the order has no discount codes applied, the condition will not match.
For **Equals**, the code must appear in the order’s discount codes. For **Not equals**,
the code must not appear (and the order must have at least one discount code applied).
Extra Cover must be a number between $100 and $5,000. If you see a validation
error when saving, check that the value is within this range and that you have
entered a valid number. Amounts of \$500 or more automatically add signature on
delivery; you do not need a separate Signature action.
Importer reference number is limited to 40 characters. If you see a validation
error, shorten the value. This action only applies to international orders; use
it with a condition such as Destination country **not equals** Australia.
Customs certificate number and customs licence number are each limited to 35
characters. Both actions only apply to international orders. If a rule includes
any of these international customs actions, the app shows a reminder that they
apply to international orders only.
Customs reference (sender customs reference) is limited to 50 characters and
must contain letters and numbers only (no spaces or symbols). This action only
applies to international orders.
Landed costs payment requires a valid option to be selected. This action only
applies to international orders and overrides your Settings default for matching
orders. If you see a validation error when saving, ensure you have chosen one of
the available landed costs payment options.
If you see a warning about invalid delivery methods, one or more rules reference
a delivery method name that no longer exists in your Shopify shipping settings.
Edit those rules and select a current method, or use **Other** with a custom name
if the method is not listed.
Each rule can have up to 10 conditions. If you cannot add another condition,
either combine logic into fewer conditions (e.g. using Fulfillment Order Line
Items) or create a second rule. If the rule uses **All orders**, that must be
the only condition—remove other conditions before saving.
The **All orders** condition must be the only condition on the rule. If you see
an error asking you to remove other conditions, delete the extra conditions (or
change All orders back to a specific condition type) and save again. While All
orders is selected, **Add Condition** is disabled.
Customer reference 1 is limited to **50** characters on the label. Add multiple
Customer reference 1 actions to join fields with spaces (e.g. Order number then
SKUs). SKUs come from fulfilling line items only; empty SKUs are skipped. This
action is separate from **Customs reference** (international customs only). If
no rule sets Customer reference 1, the default remains the order number and you
can still edit it in Shipment Settings.

## How It Works

## What Are Split Shipments?

### Email Summary Format
You'll receive a daily email summary that includes:
* **Total Alert Count**: Number of alerts across all categories
* **Categorized Alerts**: Alerts grouped by type for easy scanning
* **Alert Details**: For each alert:
* Tracking number
* Order number (clickable link)
* Current status
* Description of the issue
* Number of days (for time-based alerts)
**Email Delivery**: To ensure you receive email notifications, please add `tracking-notifications@kivaro.io` to your safe sender list or contacts. This prevents emails from being filtered to spam.
### Email Frequency
* **Daily Summaries**: You'll receive one email per day with all active alerts
* **Automatic Updates**: The summary includes all alerts that were active at the time of generation
* **No Duplicates**: Each alert appears once in the summary, even if multiple conditions are met
## How Alerts Work
### Alert Evaluation
The system automatically evaluates all shipments against your enabled alert rules:
All active shipments are checked against alert rules throughout the day
Alerts stop evaluating once packages reach terminal statuses (Delivered, Cancelled, etc.)
Time-based alerts use business days, excluding weekends and holidays
All date calculations use your shop's configured timezone
### Alert Lifecycle
1. **Evaluation**: System checks shipments against enabled rules
2. **Trigger**: When conditions are met, an alert is created
3. **Notification**: Alert appears in dashboard and email summary
4. **Resolution**: Alert automatically resolves when conditions are no longer met
5. **History**: Resolved alerts are maintained for reference
### Auto-Resolution
Alerts automatically resolve when:
* The triggering condition is no longer met (e.g., package receives an update)
* Package reaches a terminal status (Delivered, Cancelled, etc.)
* Status changes resolve the issue (e.g., "Awaiting collection" changes to "In transit")
You don't need to manually resolve alerts. The system continuously monitors and updates alert status automatically.
## Viewing Alerts
### Birds-Eye View Dashboard
Access the Alerts dashboard to get complete visibility into all shipment issues:
**Navigation Path**:
1. Open the app in your Shopify admin
2. Click **Alerts** in the left navigation menu (or go to `/app/alerts`)
**Dashboard Features**:
* **Complete Overview**: See all active alerts across your entire operation in one place
* **Prioritized Actions**: Quickly identify which alerts require Australia Post contact vs. customer outreach
* **Categorized View**: Alerts grouped by type make it easy to batch similar actions
* **Quick Navigation**: Jump directly to order details or tracking information

* **Tracking Number**: Use this when contacting Australia Post customer service
* **Order Number**: Direct link to Shopify order for customer context
* **Current Status**: Understand the current state of the shipment
* **Trigger Reason**: Know exactly why the alert was created
* **Suggested Action**: Clear guidance on whether to contact Australia Post, customer, or investigate
* **Timeline**: Complete tracking event history to understand what happened

### Threshold Guidelines
When setting business day thresholds, consider when you want to be notified to contact Australia Post or customers:
* **No Update for X Days**:
* **Domestic**: 3-5 business days (contact Australia Post to investigate)
* **International**: 7-10 business days (longer transit times are normal)
* **Business Value**: Catch lost packages early before customers notice
* **Awaiting Collection for X Days**:
* **Standard**: 3-5 business days (contact customer before return)
* **Business Value**: Prevent returns and reshipment costs
* **Label Not Lodged for X Days**:
* **Standard**: 1-2 business days (verify operational process)
* **Business Value**: Catch unused labels and operational issues early
### Email Recipient Management
* **Primary Contact**: Add your main operations email
* **Backup Contact**: Include a secondary email for redundancy
* **Team Distribution**: Share with team members who handle customer service
* **Limit**: Maximum of 3 email addresses per shop
## Troubleshooting
### Common Issues
**Problem**: Email notifications are enabled but not receiving emails
**Solutions**:
* Check spam/junk folder for emails from `tracking-notifications@kivaro.io`
* Add `tracking-notifications@kivaro.io` to your safe sender list
* Verify email addresses are correctly entered (comma-separated)
* Check that email notifications are enabled in settings
* Ensure you have active alerts (no emails sent if no alerts exist)
**Problem**: Expected alerts are not being created
**Solutions**:
* Verify the alert type is enabled in Alert Settings
* Check that the shipment hasn't reached a terminal status
* Confirm the threshold (for time-based alerts) hasn't been exceeded
* Review the tracking status to ensure it matches alert conditions
* Allow time for the system to evaluate (evaluations run throughout the day)
**Problem**: Receiving too many alerts
**Solutions**:
* Adjust business day thresholds to higher values
* Disable alert types that aren't relevant to your business
* Review and resolve underlying issues causing repeated alerts
* Consider if certain alert types are too sensitive for your workflow
**Problem**: Alerts remain active after issues are resolved
**Solutions**:
* Alerts auto-resolve when conditions are no longer met
* Allow time for the system to re-evaluate (runs throughout the day)
* Check that tracking status has actually changed
* Verify the package hasn't reached a terminal status that prevents updates
